This Privacy Policy explains how Venue Advantage Inc. (“Venue Advantage”, “we”, “us”) collects, uses and shares personal information through the Venue Advantage platform, its applications and integrations, and our website (together, the “Service”).
1. Our role
For our customers’ data, we act as a service provider (also called a “processor”). Our business customers decide what information to put into the Service and how to use it. If you are a contact of one of our customers, for example someone who received a proposal sent through the Service, please contact that customer about your information; we will help them respond.
For our own website and account administration, we decide how information is used and are responsible for it as a “controller”.
2. Information we collect
Account information. Name, work email address, organization, role and login details for Users of the Service.
Customer content. Information our customers add to the Service, such as contacts, opportunities, proposals, files and notes.
Information from connected services. When a User connects a third-party service, such as their email and calendar, we access it only as they authorize. See section 4.
Proposal and page analytics. When someone opens a proposal or page shared through the Service, we record how it is viewed, so our customer can follow up.
Usage and device information. Log data, browser and device type, IP address and how the Service is used, which we use to operate, secure and improve it.
Communications. Information you send when you contact us for support or sales.
3. How we use information
We use personal information to:
provide, maintain and support the Service, including the features a customer chooses to use;
send messages and schedule meetings at a User’s request;
secure the Service, prevent misuse and troubleshoot problems;
understand how the Service is used, so we can improve it;
communicate with Users about their account, the Service and changes to it;
meet legal obligations.
We do not sell personal information, and we do not use customer content for advertising.
4. Email and calendar data
When a User connects their email and calendar account, such as Microsoft 365, the Service acts only on behalf of that User and only within the permissions they approve. Depending on the features used, this lets the Service:
identify the connected account by its name and email address;
send email the User writes in the Service, from their own address;
read the User’s mail, to match client replies to the right opportunity;
create and update meetings the User books in the Service.
We use this data only to provide these features to the User and their organization. We do not sync or copy mailboxes; we only fetch email and calendar data related to the leads and contacts that already exist in the Service. We do not sell this data, use it for advertising, or use it to train general-purpose AI models.
Users sign in directly with their email provider, and we never see their password. A User can disconnect at any time in the Service, and their organization’s administrator can withdraw access through its own account settings.
5. AI features
Some features use AI services to generate or transform content. We use these services under terms that do not allow the providers to use our customers’ content to train their models, and we send only the content needed for the feature being used.
6. How we share information
We share personal information only as follows:
With service providers that process it for us, such as for hosting, storage, email delivery, analytics and AI features, under contracts that limit its use to providing their services to us.
Within the customer’s organization, according to the permissions set by that customer.
For legal reasons, when required by law or to protect the rights, safety or property of Venue Advantage, our customers or others.
In a business transfer, such as a merger or acquisition, subject to this policy.
7. Retention
We keep customer content for as long as the customer’s account is active, and delete it within 90 days after the account ends unless the customer asks us to delete it sooner or the law requires us to keep it. When a User disconnects a connected service, we stop accessing it straight away.
8. Security
We protect information with measures appropriate to its sensitivity. No system is completely secure; tell us at info@venue-advantage.com if you believe there is a security issue.
9. International transfers
We and our service providers may process information in the United States and other countries. Where required, we use appropriate safeguards for these transfers.
10. Your choices and rights
Depending on where you live, you may have the right to access, correct, delete or export your personal information, or to object to or restrict certain processing. Users can update most account information in the Service. To make a request, email info@venue-advantage.com. If your information is held for one of our customers, we will pass your request to them. You may also complain to your local data protection authority.
We will not discriminate against you for exercising these rights.
11. Cookies and analytics
We use cookies and similar technologies to keep you signed in, remember preferences and understand how the Service and our website are used. You can control cookies in your browser settings; blocking some cookies may stop parts of the Service from working.
12. Children
The Service is for business use and is not directed to children under 16. We do not knowingly collect their personal information.
13. Changes to this policy
We may update this policy. If a change is material, we will tell Users by email or in the Service before it takes effect.
